General Terms and Conditions for Participants
The following General Terms and Conditions contain the conditions for participating in the 22nd Annual ENETS Conference from 5 – 7 March 2025 in Krakow, Poland, which will be held as an on-site (in-person) conference (hereinafter referred to as Event).
The General Terms and Conditions apply to every individual taking part in the Event.
Definitions
- The European Neuroendocrine Tumor Society e. V. (ENETS) | Langenbeck-Virchow-Haus | Luisenstr. 58/59 | 10117 Berlin | Germany is the Organiser of the Event (hereinafter referred to as the “Organiser”).
- The Organiser entrusted Business Service “Galop” Krystyna Gołąbek with its registered office in Katowice 40-164 at 7/XIV Ordona Street, biuro@kongresy.com.pl+48 32 253 00 69, VAT ID: PL6340130006, registered in the Central Registration and Information on Business (CEIDG), maintained by the minister responsible for economic affairs, with the registration of participants.
- Business Service “Galop” provides the registration system (hereinafter referred to as the “System”).
- Any person using the System, both a natural person (consumer), an economic operator, and other organisation unit purchasing a registration (hereinafter referred to as the “Buyer”).
- Entrepreneur with Consumer Rights – A Client who is a natural person entering into a sales contract directly related to their business activity, provided that the content of the sales contract indicates that it does not have a professional character for this Entrepreneur, particularly arising from the subject of the business activity carried out by them, as made available in accordance with the provisions of the Central Registration and Information on Business (CEIDG).
Registration is handled at the official ENETS registration website (www.enetsconference.com) and is binding once the online registration form has been sent to Business Service Galop via the System. After having completed the online registration, each participant receives an initial email with the booking confirmation followed by another email containing payment information. Payment can either be made by bank transfer or by online payment via imoje (incl. credit cards (MasterCard and Visa), Apple Pay and Google Pay). After successful payment, the participant is entitled to take part in the Event.
Placing an Order
To place an order in the system, the Buyer must:
- Complete all mandatory fields in the form.
- Select the correct registration fee.
- Verify that all order details and data are entered correctly in the form.
- Accept the General Terms and Conditions.
- Click "PAY" to place the order.
- Proceed to the payment page.
Payment and Order Execution
- The Buyer must pay for the order within 24 hours of its creation. If payment is not made on time, the order will be automatically deleted. If the order is cancelled, a cancellation notification will be sent to the Buyer's provided email address.
- The Buyer must make the payment via the payment page and can only make one payment per order.
- The Organiser is not liable for any consequences resulting from false or incorrect data provided in the order form.
- The Organiser is not responsible for any issues related to the Buyer's bank or payment provider during the payment process.
- Invoices are issued after payment and will be sent electronically to the Buyer’s provided email address.
- The Organiser is not liable for any consequences arising from incorrect data entry by the Buyer.
- The order will be processed after receiving payment confirmation from the imoje system.
- The Buyer will receive a registration confirmation email after the payment and order have been processed.
- The Organiser is not liable for any consequences if the Buyer provides order-related data to third parties.
- The Organiser is not liable for the deletion of or the Buyer’s failure to acknowledge notifications sent to the Buyer.
Registration fees prices are listed on the official ENETS conference website (https://enetsconference.org/registration.html). All fees are stated in EUR and include 23% Polish VAT.
If the Event offers a reduced fee for certain types of participants, such as students, study nurses, or doctors in training, a valid proof of status ( e.g. student ID) must be uploaded during the registration process. This proof of status must be valid at the time of registration and remain valid for the duration of the Event.
Participants may withdraw from the contract at any time, although a cancellation fee may apply. To cancel, a written notification of withdrawal must be sent via email to Business Service Galop at enets@kongresy.com.pl.
For all ticket types:
If the declaration of withdrawal / cancellation is received by Business Service Galop by 31 January 2025, any registration fees already paid will be refunded minus a €50.00 administrative fee per person. Cancellations received after this date or non-attendance will result in the registration fee being non-refundable.
Name substitutions are allowed at any time. A €50.00 administrative fee applies for name changes. The cancelling participant or Buyer must email enets@kongresy.com.pl with the new participant’s complete details.
If authorities impose restrictions or bans in connection with a pandemic that prevent holding the event without social distancing, if staging the event would violate authority or epidemiological recommendations, or if travel restrictions make the event impossible to hold as planned, the Organiser may, at its discretion, convert the event to a fully virtual format. In this case, all in-person components will be cancelled, and the event will be conducted online. Participants will not be entitled to withdraw from the contract under these circumstances.
The Organiser also reserves the right to modify the event schedule, replace or remove individual lectures, or change speakers for important reasons, including shortly before the event. Such changes will only be made if they are reasonable and do not significantly alter the overall nature of the event.
The Organiser will not be liable for any additional claims or losses, including those related to flight, rail or other transportation tickets or hotel reservations, if intent or gross negligence cannot be demonstrated.
Business Service Galop is liable to the Consumer and the Entrepreneur with Consumer Rights for any lack of conformity of the Goods with the sales contract that exists at the time of delivery and becomes apparent within two years from the moment of delivery or the expiration of the Goods' minimum durability.
Business Service Galop is liable to the Consumer and the Entrepreneur with Consumer Rights under the terms specified in the provisions of the Act of May 30, 2014 on consumer rights (Journal of Laws of 2022, item 2337).
Questions, comments or complaints regarding the purchase and execution of the order should be sent via e-mail to the following address: enets@kongresy.com.pl. Complaints must be sent via email to enets@kongresy.com.pl within 14 days of the issue arising. The complaint should include:
- the order number related to the complaint.
- the reason for the complaint, including the description of the situation.
- The complainant’s name and surname.
- email address.
- telephone number.
Complaints will be addressed by the Organiser within 14 days of receipt, except when the issue lies with the imoje payment operator, in which case the complaint will be forwarded to imoje. The response time may be extended in such cases.
The Buyer will be notified of the decision via email.
The Organiser is not liable for complaints based on incorrect or inaccurate data provided by the Buyer.
Currently there is no limitation for on-site events in Krakow due to COVID and hygiene regulations.
Please note that travel to and participation in the on-site conference are undertaken at the individual’s own risk. ENETS cannot be held responsible for your safety or any damages. For up-to-date information, please refer the official ENETS conference website (https://enetsconference.org/) closer to the event date and ensure you are fully informed before travelling.
a) Except for liability arising from injury to life, body, or health of the participant, the Organiser’s liability is limited to cases of wilful intent or gross negligence. The Organiser remains liable for breaches of fundamental contractual obligations (cardinal obligations), but in such cases, liability is limited to damages that are typical and foreseeable at the time of contract formation. Any limitation or exclusion of liability for the Organiser also extends to its representatives, and any performing or vicarious agents employed. The Organiser is not liable for damages or disruptions resulting from circumstances beyond its control, including but not limited to unforeseen political, economic, or climatic events, or force majeure.
b) Neither the Organiser nor Business Service Galop shall be liable for any damage or accidents occurring to the participant on the event premises (e.g., hotel, conference venue) except in cases of wilful intent or gross negligence. Additionally, neither the Organiser, nor Business Service Galop will be liable for the items brought in (cloakroom, valuables, etc.). Participants must observe the house rules of the conference venue or hotel.
c) The Organiser and Business Service Galop are not liable for the performance of hotel services, including the availability of rooms as requested, or for the successful completion of an accommodation contract with the hotel for the offer based on the information provided.
d) Insofar as there is the possibility of participants using local public transportation at the event location free of charge by presenting their congress documents, admission tickets or such and/or purchasing such tickets at a discount rate, The Organiser and Business Service Galop shall not be liable for any damages arising from the use of these means of transportation.
e) Neither the Organiser nor Business Service Galop accept liability for the success intended by the event.
The personal information provided by participants upon registration will be used solely to organise, execute, and evaluate the Event. Data will be shared only with third parties directly involved in the Event, such as the Organiser and associated venues, to ensure the Event runs smoothly. No further sharing of personal data with third parties will occur.
All personal information will be collected, used and stored in compliance with applicable data-protection regulations.
By registering for the Event, participants expressly consent to the collection, use, processing, storage and disclosure of their personal information as described above.
Scientific and scholarly presentations by speakers will be transferred to the presentation equipment (e.g., laptops) either centrally from the technology counter or via a storage device and may be saved on the Event location’s server. This server may be accessed by third parties (e.g., event technicians) for the purpose of ensuring the smooth operation of the Event. The presentations will be shared with third parties only if necessary for the Event. By registering for the Event, participants agree to this arrangement. The Organiser does not guarantee that the presentations will be protected by copyright. Speakers should be aware that neither the Organiser nor Business Service Galop will be liable for any copyright infringements in the speakers’ presentations.
By entering the Event Premises, on-site participants consent to the possibility of being included in interviews, photographs, audio recordings, video recordings (“Footage”) and its/their release, publication, exhibition, or reproduction for news, webcasts, telecasts, websites, social media, or any other purpose by ENETS and/or its representatives. This Footage may also be used to promote future ENETS events, highlight the current event and showcase the ENETS’s capabilities. Participants hereby release ENETS, its officers, employees, and involved parties from any liability related to the production and/or use of this Footage.
By entering the Event Premises, on-site participants waive any rights to claims for payment or royalties related to the use, exhibition, streaming, webcasting, televising, or other publication of the Footage, regardless of the purpose or sponsorship. Participants also waive any rights to inspect or approve the Footage taken by ENETS or it designated representatives.
Participants confirm that they have been fully informed of, and understand, their consent, waiver of liability, and release prior to entering the Event Premises.
Content capture
Participants, whether virtual or on-site, are prohibited from capturing or distributing any content without prior approval from ENETS and the speaker.
If the participant is a consumer under section Article 2, point 1 of the Consumer Rights Act of 30 May 2014, which is based on the EU Consumer Rights Directive (2011/83/EU), the following applies:
Right of withdrawal
The Buyer (Consumer and Entrepreneur with Consumer Rights) has the right to withdraw from the contract in writing without providing any reason within 14 (fourteen) days from the date of the contract conclusion, pursuant to the Act of May 30, 2014 (Journal of Laws of 2014, item 827 as amended). In the event of written withdrawal from the contract, the Client is obligated to return the goods within 14 (fourteen) days.
The right mentioned above also applies to a natural person – Entrepreneur with Consumer Rights, entering into a contract directly related to their business activity, provided that the content of the contract indicates that it does not have a professional character for that person, particularly arising from the subject of the business activity carried out by them, as made available in accordance with the provisions of the Central Registration and Information on Business (CEIDG).
The period of withdrawal is deemed to have been observed if the declaration of withdrawal is dispatched within the period. The declaration is to be sent by post to Business Service Galop with its registered office in Katowice 40-164 at 7/XIV Ordona Street, or by email biuro@kongresy.com.pl.
Consequences of withdrawal
In the event of withdrawal, any performance received by either side is to be returned and any uses are to be surrendered. Obligations for restitution of payments made are to be met within a period of 30 days. For the participant, the period begins with the dispatch of the declaration of withdrawal, for Business Service Galop it begins with the receipt of the declaration.
The Organiser is not responsible for interruptions of data transmission during the purchase process or for any interruptions or errors in the operation of the System resulting from circumstances beyond the Organiser’s control.
The Organiser shall not be liable for any messages or data lost or lost on the Internet due to reasons beyond the Organiser's control.
The Organiser reserves the right to decide, at its own discretion, when to commence and close the online registration process.
The place of performance for the services provided by Business Service Galop with its registered office in Katowice 40-164 at 7/XIV Ordona Street, biuro@kongresy.com.pl, +48 32 253 00 69, VAT ID: PL6340130006 as far as the services are to be provided there. The place of jurisdiction is the district court in Katowice, Poland.
Should one or several provisions of these conditions of participation become invalid or contain a loophole, the contractual parties agree to amend or substitute the invalid or incomplete regulation with statutory regulations or with a valid regulation as close as possible to the purpose of the invalid regulation. The validity of the remaining provisions shall remain unaffected.
